Full policy
Effective date: 2026-02-02
1) Who we are
PDFMaple (“PDFMaple”, “we”, “us”, “our”) provides online tools that help users work with PDF files. PDFMaple was created in 2026 and proudly born in Ottawa, Canada.
2) Scope
This policy explains how we collect, use, disclose, and protect personal information when you use our website, tools, and related services (collectively, the “Services”).
3) Privacy principles and Canadian compliance
We design our Services to align with the privacy principles commonly reflected in Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial private‑sector privacy laws (such as Alberta’s PIPA, British Columbia’s PIPA, and Québec’s privacy legislation). In practice, this means we aim to:
- Collect personal information only for identified purposes and explain those purposes clearly.
- Limit collection to what is necessary for the Services.
- Use and disclose personal information only for the purposes described in this policy (or with your consent, or as permitted/required by law).
- Keep information only as long as needed for the purposes described, then delete or anonymize it.
- Protect information with appropriate safeguards based on sensitivity.
- Provide access and correction options, as required by applicable law.
4) Information we collect
a) Account information
If you create an account, we collect your email address and (optionally) your name. Passwords are not stored in plain text; we store a secure password hash.
b) Files you upload for processing
To run PDF tools, you may upload files (for example, PDFs, images, or documents). These files are processed to generate your requested output. We do not use your file content to advertise to you.
c) Contact requests
When you submit a contact request, we collect the information you provide (such as your name, email address, subject, and message) so we can respond.
d) Technical and security data
Like most websites, our servers may automatically record limited technical information (for example, IP address, user agent, approximate timestamp, and basic request metadata) for security, troubleshooting, and abuse prevention.
5) How we use information
- To provide the Services and deliver tool outputs you request.
- To authenticate users and manage accounts.
- To communicate with you (for example, responding to contact messages or account‑related notices).
- To maintain, protect, and improve the reliability and security of the Services (including preventing fraud and abuse).
- To comply with legal obligations, where applicable.
6) Legal basis for processing (Canada + international)
In Canada, personal information is typically handled on the basis of meaningful consent and reasonable purposes. Where international laws apply, we may rely on additional bases such as performance of a contract (to provide the Services), legitimate interests (security and service improvement), and consent (where required).
7) File handling and retention
Uploaded files are used only to run the tool you selected. Our standard workflow processes files in a short‑lived workspace and removes that workspace after the request completes. Outputs are provided to you for download and are not intended to be stored long‑term by default.
Important: Depending on server configuration and hosting provider logs, limited metadata (not file contents) may exist for operational and security purposes.
8) Sharing and disclosure
We do not sell your personal information. We may disclose information in the following circumstances:
- Service providers: Hosting and infrastructure providers who process data on our behalf to operate the Services.
- Legal requirements: When required to comply with applicable law, court orders, or lawful requests by public authorities.
- Protection: To protect the rights, property, and safety of PDFMaple, our users, or the public, where permitted by law.
9) International data transfers
We aim to host and operate the Services from Canada. However, depending on your location and our hosting and support providers, personal information may be processed in other jurisdictions. Where cross‑border transfers occur, we take steps designed to provide an appropriate level of protection and contractual safeguards.
10) Security safeguards
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. No method of transmission or storage is 100% secure, but we work to continuously improve our security.
11) Your rights and choices
Depending on your jurisdiction, you may have the right to request access to, correction of, or deletion of personal information. In Canada, you can generally request access and challenge accuracy. In other regions, additional rights may exist, such as GDPR rights (access, rectification, erasure, restriction, portability, objection) or similar rights under other privacy laws.
To make a request, contact us at info@pdfmaple.com. We may need to verify your identity before fulfilling your request.
12) Cookies and tracking
We use minimal, functional storage where needed to keep you signed in (for example, storing an authentication token in your browser). We do not intentionally add third‑party advertising trackers to the site.
13) Children’s privacy
Our Services are not directed to children under the age where parental consent is required by applicable law. If you believe a child has provided us personal information, please contact us.
14) Changes to this policy
We may update this policy from time to time. If we make material changes, we will post the updated policy and revise the effective date.
